What size conferences is PLANARA built for?

PLANARA is designed for professional conferences of roughly 100 to 5,000 delegates — association annual meetings, corporate and user summits, academic congresses and government forums. For very small workshops it is more system than you need. For programmes well beyond that range, talk to us about an Enterprise configuration.

Can PLANARA handle multi-track conferences?

Yes. PLANARA supports parallel tracks across multiple halls and days, with room capacities, speaker and session assignment, and attendance captured per session. Schedule changes push to delegates immediately rather than leaving them with an outdated printed programme.

Does it handle speaker abstracts and peer review?

Yes. Abstract submission, multi-stage review, blind review options, scoring and automated acceptance or rejection all happen inside PLANARA, so proposals stop living in inboxes and spreadsheets.

Can we track CME, CEU or CPD credits?

Yes. Badge scanning records which sessions each delegate actually attended, which is the evidence continuing-education accreditation requires. Attendance exports per delegate and per session.

Does PLANARA support multi-language conferences?

Yes. Registration sites and delegate communications can run in multiple languages, including right-to-left scripts — built for international conferences and government events with mixed audiences.

What does PLANARA cost?

PLANARA Event starts from €1,490 for a single event. Professional is €4,900 per year and Agency is €8,900 per year, both billed annually in advance. Enterprise starts from €15,000 per year and is quoted per contract. All prices exclude VAT.

Do you take a commission on our ticket revenue?

No. Annual plans carry no PLANARA commission on ticket revenue. Your payment provider still charges its own processing fees, which are separate from anything PLANARA bills you.

What counts as an attendee?

Attendee allowance is measured by the registrations your event actually takes, not by page visits or invitations sent. Every plan includes an allowance, and additional attendee capacity is available if you exceed it. Tell us your expected numbers and we will size the plan with you.

How long does a PLANARA Event licence last?

An Event licence covers a defined access window around your event — typically from a few months before through to shortly after, with the exact dates set in your order. It is a fixed-term licence for that event, not an ongoing subscription and not a perpetual licence.

What happens if we exceed our allowance?

Nothing breaks mid-event. Additional attendee capacity and AI credits are available as add-ons, and we will flag it before you hit the limit rather than after. We never silently convert an Event licence into annual billing.

What is included for AI?

AI features are included in every plan with an allocation of credits. Additional AI credits are available if you need more. Usage is visible in your billing area so nothing is consumed without your knowledge.

How are SMS and WhatsApp charged?

SMS, WhatsApp and comparable communication services carry third-party costs that vary by country and volume, so they are charged based on usage rather than bundled into the plan price. You can set spend caps.

Can PLANARA run virtual or hybrid conferences?

Yes. In-person and virtual delegates can be registered on separate ticket types, with streaming integration and virtual access managed alongside the on-site programme.

Can exhibitors and sponsors get their own access?

Yes. Exhibitors and sponsors get their own portals for booth details, materials, lead capture and engagement data. You control what delegate information they can see.

Can we run PLANARA on our own infrastructure?

Private cloud and self-hosted deployment are available as part of an Enterprise agreement, along with SSO and dedicated infrastructure. These are annual licences with implementation and support — we do not sell perpetual licences.

Who owns the conference data?

You do. Delegate records, registrations and analytics are yours, exportable at any time. There is no lock-in on your own data.
